The Southfield Trust is looking to appoint an Administrative Assistant to join the Trust Administration team. This is a permanent position subject to a successful probationary year. The hours of work are 32.5 per week between 08:30 and 15:30.
The Southfield Multi Academy Trust consists of four exceptional special schools – The South Downs School, The Lindfield School, Hazel Court School/FE Department and Summerdown School which opened in September 2022. We are looking for a self-motivated individual with good communication and word processing skills to provide general clerical support for the Trust in particular coordinating the documentation of pupils’ Educational Health Care Plans and taking minutes of meetings, maintaining pupil data on the Trust’s information system – Bromcom, and submitting census returns, and providing main office cover when required. The right candidate will have the opportunity to work in a friendly but busy environment. You will be required to liaise with a variety of professionals and other agencies.
You will work alongside a supportive staff team who have a wealth of expertise and are committed to the continuing professional development of all staff – offering a strong programme of in school training.
Candidates should be aware that they may be required to work on any one of the Trust’s school sites.
Main Functions
- To word-process and produce Trust documentation as requested.
- To draft correspondence to parents/carers, staff, governors and external agencies.
- To deal with enquiries, answering the telephone and relaying messages to staff and pupils
- To maintain efficient filing, indexing and internal correspondence systems.
- To support the Trust in the production of reports and policy documents as required.
- To minute meetings as required.
- To deal with all confidential matters with tact and discretion.
- To assist with ordering and maintaining school supplies.
- To provide cover at other Trust sites as required.
Knowledge
- A basic knowledge of the work of a school
- Knowledge of, or willingness to learn, a range of computer applications including Word, Excel, SharePoint and BROMCOM
Experience
2.1 Experience of producing documents of a high standard
2.2 Experience of undertaking a range of clerical and administrative duties, including data input
Skills & Abilities
3.1 Ability to word-process documents quickly and accurately
3.2 Ability to work in an organised and methodical manner
3.3 Ability to develop efficient record keeping systems
3.4 Ability to produce accurate and up-to-date records and reports as required
3.5 Ability to identify work priorities and manage own workload to meet deadlines whilst ensuring that lower priority work is kept up to date 3.6 Ability to show sensitivity and objectivity in dealing with confidential issues
